Own Your Numbers vs the spreadsheet.
The spreadsheet is the best modelling tool ever made and a terrible early-warning system, because it only knows what you last typed into it. Keep Excel for modelling decisions. Use a weekly briefing that reads Xero itself for the "is my cash safe" question, so the answer does not depend on you finding an hour every Sunday night. Most businesses that can afford £79 a month should run both.
Before anything else, a confession: I love Excel. Twenty-five years in it, a huge amount of my professional life spent in it, keystrokes embedded in my DNA. It is just rows and columns, a blank canvas to create a mess or a work of art. My eldest built her first margin tracker in it at 13. So this is not one of those pages where a software vendor sneers at spreadsheets. The spreadsheet is the incumbent here because it deserves to be.
What the spreadsheet does better, honestly
- Modelling. What happens if we hire in October? If the big customer goes to 60 days? No app matches a well-built model in the hands of someone who knows the business. Not ours, not anyone's.
- Flexibility. Your quirks, your seasonality, your weird payment terms: a spreadsheet bends to all of it, instantly, for nothing.
- Cost. You already own it. Hard to argue with.
- Understanding. Building the model teaches you the business. I still recommend every founder build a cash forecast by hand at least once, for the same reason you learn arithmetic before you get a calculator.
Is a spreadsheet enough to manage cash flow?
It is, on two conditions: somebody updates it every week without fail, and that somebody is honest with it. And there is the problem, because the spreadsheet has a single point of failure, and it is you. It does not chase you. It does not notice that you skipped a week, then a month. It reports whatever you last typed, with total confidence, however stale. A forecast that was true in March will happily tell you everything is fine in June.
In my experience the spreadsheet does not fail on the maths, it fails on the Sunday nights. The week you are too busy to update it is precisely the week something is moving, because busy is when cash moves. The fuel light that only works when you remember to check the sensor yourself is not really a fuel light.
What changes with a weekly briefing

The spreadsheet is the workshop: when the gauge says look, you open the model and work the decision properly. The gauge never gets stale; the model never gets asked to do a job it is bad at.

And if you genuinely maintain a beautiful weekly cash spreadsheet, without fail, every week? Keep it. I mean that. You are the exception this page is not for, and I would rather tell you that than sell you something you do not need.
